1. Introduction
This policy outlines the procedures for handling complaints and disciplinary matters within [Your Dodgeball Club Name]. It applies to all members, players, coaches, volunteers, and spectators involved in club activities.
2. Complaints Procedure
2.1. Submitting a Complaint

Complaints should be submitted in writing to the Club Secretary via email.

Include your name, contact details, details of the incident, date, location, and names of any witnesses.
2.2. Initial Assessment

The Club Secretary will acknowledge receipt of the complaint within 5 working days.

An initial assessment will be conducted to determine if the complaint requires further investigation.
2.3. Investigation

If necessary, a panel of three members from the Disciplinary Committee will be appointed to investigate the complaint.

Both parties involved will be asked to provide written statements and any relevant evidence within 10 working days.
2.4. Resolution

The panel will review all evidence and make a decision within 15 working days of receiving all statements.

Possible outcomes include dismissal of the complaint, mediation, or disciplinary action.
3. Disciplinary Guidelines
3.1. Types of Misconduct

Minor Misconduct: e.g., inappropriate language, minor breaches of club rules.

Serious Misconduct: e.g., violence, discrimination, major breaches of club rules.
3.2. Sanctions

Minor Misconduct: Verbal warning, written warning, temporary suspension.

Serious Misconduct: Longer suspension, expulsion from the club.
3.3. Appeals

Members have the right to appeal any disciplinary action.

Appeals must be submitted in writing to the Club Chairperson within 10 working days of the decision.

An Appeals Committee will review the appeal and make a final decision within 15 working days.
4. Confidentiality
All complaints and disciplinary matters will be handled confidentially. Information will only be shared with those directly involved in the process.
5. Conflict of Interest
Any member of the Disciplinary or Appeals Committee with a conflict of interest in a case must declare it and step down from the investigation or appeal process.
6. Safeguarding
Any complaints involving safeguarding issues will be handled in accordance with the club’s Safeguarding Policy and may be referred to external authorities if necessary.
7. Review
This policy will be reviewed annually by the Club Committee to ensure it remains effective and up-to-date.
